Make sure your substitute is available

You can now control what happens when someone chooses a substitute who is on leave when submitting a leave request.

Previously, the system always blocked such requests – even during the holiday season, when finding an available substitute was difficult. Now you have a choice:

  • Block the request: Don't allow the request to be submitted if the substitute is absent.
  • Display a warning: Show a warning, but allow the request to be sent.

Example: Anna submits a leave request and chooses Mike as her substitute. If Mike is absent during that period, the system will block Anna's request or display a warning – depending on your settings.

The restriction works separately for each leave type. For existing clients, we've set "Block" as the default to maintain current workflows.

Track changes in timesheets – everything in one place

We've added a new "Change History" view in the Time & Attendance module. Each employee now has access to their work time change requests and their complete history.

Previously, this information was only visible to managers and administrators in approval views. Now employees can also review their requests – adding forgotten time, editing hours, deleting entries – along with the change and approval history.

This makes it easier to control the employee's timesheet and allows for a precise understanding of what happened with each request.

Time Off

Generate reports in the background

You work with large datasets? Generating extensive reports can take more time – that's why we've introduced a background processing mechanism.

When report creation exceeds one minute, the system takes over the work in the background. You can return to your tasks, and we'll send you an email as soon as the file is ready to download.

What you gain:

  • Freedom – you don't block your browser or your time
  • Email notification – you click the link and immediately download the report
  • Report history – a new panel in the application stores your reports for 7 days.

The feature is already available in the Requests and Entitlement reports. We'll soon expand it to the rest.

Full control over the evaluation process

Work on the new Performance Review module isn't slowing down! From now on, you can change reviewers and participants even during an ongoing review session. You don't need to end it and start over.

What's changed:

  • Flexible sessions - Assign questions per position, per evaluation type, per evaluated person
  • Session filtering – Find specific review cycles by name and status (Active / Completed)
  • List organization – Remove outdated or test sessions from the list.
  • Flexible editing during an ongoing session – Administrators can add or remove participants without restarting the session.

All work data in one report

In the Timesheet details report you will now find everything you need to analyze work data – we have added: the day description, working hours, and break times.

You can configure filters and data types according to your needs – just like in other reports.

What else have we improved:

  • The employee data row remains visible while scrolling – you always know whose data you are viewing.
  • Long descriptions are clearly formatted and expandable.
  • Employee avatars make it easier to quickly orient yourself in the data.

This is particularly useful if you need to meet time tracking regulations (e.g., in Poland) or if you are consolidating data from multiple sources.

Automatic Geofencing – the system tracks time for you

Approaching the office or a work zone? Now the app will register your Clock In automatically. Leaving? The system will end the work for you. No clicking, no forgetting.

What you need to know:

  • The Administrator configures zones and enables automatic registration in the panel.
  • The Employee can turn off automatic geofencing at any time in the app settings.
  • You have access to the zone entry and exit history – all in one place.
  • If location permissions are missing, the app will guide you on how to grant them.
  • Calamari does not track your location – we only receive information about entering or leaving a zone from your phone's system.

No more filling out timesheets from memory

Do you remember what you did three weeks ago? Neither do we. That’s why Calamari will now remind you of missing entries in your timesheet before you have a chance to forget them.

  • How it works: At the beginning of each week, the system checks the previous 7 days. If your records are missing entries, you will get a notification with a direct link to the spots requiring attention.
  • When: The first day of your work week, at 12:00 PM.
  • Where: Email, Slack, Microsoft Teams, or the mobile app.

This feature is disabled by default – turn it on in Personal notifications (Reminder about missing timesheet entries) if you want to keep your records constantly up to date.

Faster project switching in the KIOSK

The Administrator can now assign a default project to each KIOSK. Thanks to this, after scanning, the employee automatically has a project set and can start working immediately or quickly switch to another one.

  • For whom: Production, construction, and cleaning teams.
  • Where: Kiosk settings in the Time & Attendance module.

Try it: Go to KIOSK settings and assign a default project to each Terminal so your employees can record time against specific tasks faster.

Time Off

From now on, you can block time-off requests from people designated as substitutes.

Why? To ensure that someone is always present. When someone is assigned as a substitute, that person will not be able to take time off during the same period.

  • Example: Ann wants to take time off tomorrow and designates Mike as her substitute. If Mike tries to request time off for the same day, the system will stop him – depending on how you configure restrictions for that absence type.

The new restriction works in two modes:

  1. Show warning.
  2. Block requesting.

Try it: Go to Configuration β†’ Absence types / Time-off categories β†’ [select absence type] β†’ Restrictions β†’ Add new rule: Requester cannot request time off for a period in which they are assigned as a substitute.

The new Performance module in Calamari helps streamline the assessment and feedback process within the team. Everything happens in one place – from self-evaluation, through peer review, to manager review.

Here is what we recently improved:

  • Clearer session view: After opening a session, you only see the people your evaluation concerns. The Administrator has full access, while managers and employees only see themselves, their subordinates, or assigned coworkers. The view is now much more readable, especially for larger teams.
  • Flexible question configuration: You can decide whether a given question appears in the self-evaluation, peer review, or both. This allows you to conduct different types of evaluations within a single session without duplicating configuration.

Try it: Go to the Performance module and check how it can improve the evaluation process in your team.
